Formula used

Every clock time is converted into minutes after midnight. When overnight work is enabled, 1,440 minutes are added to an ending time that is earlier than its starting time.

Gross minutes = adjusted clock-out minutes − clock-in minutes
Net worked minutes = gross minutes − unpaid break minutes
Decimal hours = net worked minutes ÷ 60
Estimated pay = regular pay + overtime pay + double-time pay + premiums + reimbursements − deductions

Paid breaks remain in compensated time. Unpaid breaks reduce net hours. The overtime engine then allocates net minutes into regular, overtime, and double-time buckets according to the selected thresholds.

How to use this calculator

  3. For full time sheets, choose a period and enter up to three work periods for each date.

Flexible clock-time input

The calculator accepts common clock formats including 8, 8:30, 0830, 8:30 AM, 20:30, noon, and midnight. Adding AM or PM is recommended whenever a value might be ambiguous. Quick Pairs treats alternating values as clock-in and clock-out times, while Sum Hours treats every value as an elapsed duration.

Multiple periods per day

Three periods are available for split shifts, meal gaps, field assignments, training sessions, or evening returns. The calculator validates incomplete pairs, overlapping periods, very long shifts, and break totals that exceed gross time. Daily rows also record scheduled hours, projects, job codes, attendance, mileage, expenses, premium flags, and explanatory notes.

Break treatment

Paid and unpaid breaks are reported separately. Paid breaks remain included in net compensated time, while unpaid breaks are deducted. Automatic break deduction can be enabled after a selected gross-duration threshold. Because break requirements vary, the automatic result should be checked against actual records and workplace rules.

Overnight and daylight-saving work

When overnight handling is active, an end time earlier than its start is treated as the following day. A 10:00 PM to 6:00 AM entry therefore equals eight hours. Daylight-saving transitions can change elapsed time even when wall-clock times appear normal, so transitions should be reviewed manually.

Overtime estimates

Weekly overtime, daily overtime, double time, and a seventh consecutive day rule can be enabled independently. Thresholds use minutes for precision: 2,400 minutes equals forty hours, 480 equals eight hours, and 720 equals twelve hours. These settings provide arithmetic estimates and do not determine legal eligibility.

Payroll and premium estimates

Base pay is calculated from regular minutes and the hourly rate. Overtime and double-time multipliers are configurable. Shift differentials, weekend premiums, holiday multipliers, bonuses, tips, commissions, mileage reimbursement, expenses, and deductions can be added. The final amount is a gross estimate before taxes and employer-specific adjustments.

Rounding

Rounding can be disabled, set to the nearest increment, forced upward, or forced downward. Increments include one, five, six, ten, fifteen, thirty, and sixty minutes. Applying rounding to clock entries may produce a different result than rounding only the final duration. Preserve original records and follow authorized policies.

Schedules and attendance

Scheduled start and end times create a planned duration. The schedule variance compares actual net time with that planned amount. Attendance labels classify present, remote, field, late, early departure, absence, sickness, vacation, holiday, training, and other conditions without changing the underlying time arithmetic.

Projects, mileage, and expenses

Project and job-code fields associate hours with clients, departments, grants, tasks, or cost centers. Mileage is totaled and multiplied by the configured reimbursement rate. Expenses are added as reimbursements rather than wages. Taxable reimbursements and specialized accounting treatments should be processed through approved systems.

Privacy and browser autosave

No database is required by this file. Form submissions are processed by the same PHP page. Optional autosave uses local storage in the current browser. Privacy mode disables autosave and removes the saved form. Shared computers should not retain employee identifiers, pay rates, notes, or personnel records.

Printing and CSV export

The print view removes the input interface and keeps the calculation summary. CSV export includes dates, gross time, paid and unpaid breaks, net time, regular hours, overtime, double time, decimal hours, estimated pay, projects, job codes, attendance, mileage, expenses, and notes.
