How to use this calculator
Choose one reporting period
Use one consistent time window for leads, costs, wins, and revenue. Mixing monthly lead counts with annual costs will distort customer acquisition and return metrics.
Define every funnel stage
Document what qualifies a lead for each stage. Consistent definitions improve comparisons between periods, sources, representatives, products, and territories.
Remove unusable records
Record spam, duplicate, test, and invalid leads separately. The adjusted conversion rate can exclude them while preserving the raw rate for transparency.
Include complete acquisition costs
Add advertising, campaigns, sales labor, software, data, agencies, events, and directly related expenses. Fully loaded costs create a more dependable CAC calculation.
Use realistic revenue assumptions
Enter average deal value, recurring revenue, contract duration, gross margin, commission, and refund rates. These inputs convert conversion performance into profit and break-even estimates.
Compare sources beyond conversion
A high conversion rate does not always create the highest profit. Review channel volume, cost, CAC, revenue per lead, profit, ROI, and sales-cycle length together.
Use representative metrics carefully
Lead quality, territory, product mix, experience, and opportunity difficulty affect salesperson results. Use the comparison for coaching and process improvement rather than automatic judgment.
Record loss reasons consistently
Use a controlled list where possible. Common reasons include budget, pricing, competitor selection, timing, no response, poor fit, feature gaps, and compliance concerns.
Build several scenarios
Conservative, expected, and optimistic cases reveal risk. The capacity control prevents forecasts from assuming unlimited sales, onboarding, or implementation resources.
Interpret percentage-point improvement correctly
A move from five percent to six percent is one percentage point. The improvement table translates each gain into extra customers, revenue, and contribution profit.
Review confidence intervals
Small samples create wider statistical ranges. The interval is an approximation and should be interpreted with seasonality, changing source mix, pricing, and process changes.
Repeat the analysis
One report is a snapshot. Repeated reports show trends in quality, response speed, stage efficiency, source economics, deal value, loss reasons, and forecast accuracy.

Should invalid leads be excluded?
Usually yes. Excluding spam and duplicates produces a more meaningful adjusted rate while the raw rate preserves visibility.
What is a good conversion rate?
There is no universal target. Results depend on source, product, price, market, sales cycle, and qualification rules.
Why can a high-converting channel lose money?
It may have high costs, small deals, low margins, refunds, heavy sales effort, or weak lifetime value.
Should labor be included in CAC?
Include labor for fully loaded acquisition economics. Exclude it only when measuring a narrower media-efficiency view.
Can this replace a CRM?
No. It is an analysis tool. A CRM should remain the operational system of record.
